Program Coordinator

Position Title: Program Coordinator
Location: Pictou County, Nova Scotia
Position Type: Full-time, Term position (subject to funding continuation)
Reports To: Director, Immigration & Community Integration

About the Pictou County Partnership

The Pictou County Partnership is the regional economic development organization supporting business growth, investment attraction, and workforce development. We connect employers, community partners, and government to create the conditions for a thriving, inclusive, and prosperous Pictou County.

Position Summary

The Program Coordinator will play a critical role in the day-to-day delivery of an immigration pilot. Working under the direction of the Director of Immigration & Community Integration, this role ensures the integrity, transparency, and smooth operation of the program through diligent application management, data tracking, and compliance monitoring.

The Coordinator will serve as the primary point of contact for employers and candidates, maintaining a high standard of service, accuracy, and confidentiality while supporting the community’s broader workforce attraction and retention goals.

Key Responsibilities

1. Program Delivery & Application Management

  • Process and applications in accordance with policy.
  • Review and verify documentation to ensure eligibility, accuracy, and completeness.
  • Communicate with employers and candidates to provide status updates and request additional information as required.
  • Maintain organized digital records and support secure data management practices.

2. Integrity, Compliance & Fraud Prevention

  • Uphold program integrity by ensuring all applications meet established due diligence, compliance, and anti-fraud standards.
  • Support quality assurance by identifying and flagging potential red flags or inconsistencies.
  • Work collaboratively with the Director to maintain transparent, fair, and auditable processes.

3. Data Collection, Analysis & Reporting

  • Collect, analyze, and labour market and immigration data to support reporting requirements and internal performance tracking.
  • Develop and maintain tracking tools and dashboards to monitor application volume, employer participation, and candidate outcomes.
  • Support preparation of monthly, quarterly and annual reports.

4. Employer & Stakeholder Support

  • Provide clear guidance and responsive communication to employers to support success.
  • Build relationships with local employers and sectors who significantly contribute to the economic growth of the region.
  • Support coordination with other programs where appropriate.
  • Collaborate with the Outreach & Engagement Officer to ensure consistent messaging and efficient referral processes.
  • Support the annual employer consultation process to ensure priority sectors and occupations reflect local economic opportunities.

5. Continuous Improvement

  • Identify opportunities to streamline workflows and strengthen program efficiency.
  • Support implementation of updates to procedures, templates, and guidelines.
  • Participate in team meetings, training, and community engagement activities to strengthen program delivery.

Qualifications

Education & Experience

  • Post-secondary education in business administration, public policy, immigration studies, or a related field.
  • 2–3 years of relevant experience in immigration, program coordination, economic development, or public administration.
  • Experience working with confidential information, client files, or government reporting systems is an asset.

Skills & Competencies

  • Strong attention to detail and ability to manage multiple deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft 365.
  • Analytical mindset with ability to interpret data and prepare clear summaries.
  • Sound judgment, discretion, and commitment to ethical and transparent program delivery.
  • Understanding of rural economic development and immigration pathways (asset).
